We're hiring: Service Administrator & Project Sales Administrator

We are looking for two motivated and detail-driven professionals to join our high-performing team:
Service Administrator — Own and streamline our national maintenance service delivery.
Project Sales Administrator — Keep projects moving with precise, proactive administration and customer support.

Position 1: Service Administrator

As our Service Administrator you’ll be the engine behind our national service operations — coordinating reactive and planned maintenance jobs to ensure we meet customer expectations and keep systems running smoothly.

What You’ll Be Doing

  • Schedule, assigns and monitor technician and subcontractor jobs via serviceM8
  • Liaise with customers, internal teams and service partners to ensure smooth delivery
  • Track job progress and ensure service documentation is uploaded for invoicing
  • Quote additional works identified during service jobs
  • Support post-project service handovers and maintain high levels of customer engagement

Ideal Background

  • Experience in service coordination, facilities management or field operations
  • High attention to detail, great communicator and strong organisation skills
  • Confident working across systems like MS Office, SAP and ServiceM8
  • Ability to remain calm under pressure and juggle competing priorities

Position 2: Project Sales Administrator

As a Project Sales Administrator, you'll manage the full administrative lifecycle of our Access Solutions Projects - from managing client documentation to delivery logistics and customer support.

What You’ll Be Doing

  • Set up new projects: enter data, verify documents, create client files and maintain project tracking systems (e.g. Harmony, Monday.com)
  • Coordinate with technicians and subcontractors and schedule installations
  • Prepare purchase orders, manage customer and subcontractor documentation (SWMNS, JSEAs. Etc.)
  • Maintain customer portals, ensure compliance and support Business Development Managers and project leads throughout the project lifecycle
  • Assist in stock control and support ERP implementation activities

Ideal Background

  • Experience in Project Administration, sales support, or construction services
  • Highly organised and confident working across multiple platforms and departments
  • Can handle customer inquiries professionally and adapt quickly to changing priorities
  • SAP experience will be highly regarded
